Privacy Policy

This policy explains how IUSG MEET collects, uses, stores, protects and discloses information related to its users.

IUSG MEET is a conference and continuing medical education application intended primarily for registered delegates, doctors, faculty members, speakers, organisers, sponsors and other authorised participants of IUSG conferences and scientific programmes. By accessing or using IUSG MEET, you acknowledge that you have read and understood this Privacy Policy.

1. Scope of this Privacy Policy

This policy applies to the IUSG MEET Android and iOS applications, the associated web application, delegate authentication, conference information, CME evaluations and certificates, live sessions, recorded talks, sponsor and faculty information, notifications, and related administrative services.

It does not govern independent third-party websites or services linked from the App. Those services operate under their own privacy policies.

2. Information We May Collect

2.1 Personal and registration information

  • Name, title, email address and mobile number
  • Organisation, hospital, institution or professional designation
  • Membership status, conference registration number or user identifier
  • Conference selection, registration status and paid, complimentary or pending access status
  • Registration and submission dates

2.2 Authentication information

  • Email address or mobile number used for login
  • OTP verification information, login time, session and access-control records

OTP information is used to authenticate users and protect restricted content. Users should never share an OTP with another person.

2.3 CME evaluation information

  • Conference, day and session details
  • Attendance confirmations, ratings, feedback, comments and suggestions
  • Commercial-bias declarations, draft or final submission status
  • CME points, credit eligibility, submission time and certificate information

2.4 App activity and technical information

  • Programme pages, live sessions, recorded talks, sponsor flyers, CME forms and certificates accessed
  • Device type, operating system, app version, IP address, browser or WebView information
  • Crash logs, diagnostics, performance information and push-notification tokens where applicable

2.5 Information not intentionally collected

The App is not intended to collect patient medical records, diagnostic reports, prescriptions, biometric information, precise GPS location, banking passwords or complete card details. Users must not enter patient-identifiable or confidential medical information in feedback or support fields.

3. How We Use Information

  • Verify conference registration and delegate eligibility
  • Authenticate users and provide delegate-dashboard access
  • Display conference programmes, faculty, sponsors and event information
  • Provide live-session and recorded-talk access
  • Manage CME evaluations, eligibility, credits and certificates
  • Send conference notices, reminders and notifications
  • Provide technical support, security, reporting and service improvement
  • Meet legal, regulatory, accreditation, audit and contractual requirements

4. Legal Basis for Processing

Depending on the circumstances and applicable law, information may be processed based on consent, conference registration or participation, performance of requested services, legitimate operational and security interests, compliance with law, or CME accreditation and certificate requirements.

5. Sharing and Disclosure

Information may be disclosed to authorised conference organisers and administrators, technical service providers, hosting and notification providers, accreditation or professional bodies, and competent legal authorities when reasonably necessary.

Technical providers may include mobile-app technology providers, web and database hosting services, email or OTP services, Firebase or other notification services, and external video or streaming platforms.

We do not sell users’ personal information to advertisers or data brokers.

6. Registration and Payment

Conference registration or payment may take place on an external conference website or payment provider. The App may verify whether a registration is paid, complimentary or pending, but it does not intentionally store complete card numbers, CVV values, banking passwords or payment-account credentials.

7. Push Notifications

With device permission, IUSG MEET may send programme updates, session reminders, conference announcements, CME deadlines, certificate notifications and important operational messages. Notifications may be disabled in the device settings.

8. Cookies, Sessions and Similar Technologies

The App and its web components may use essential cookies, login-session identifiers, local storage, authentication tokens and WebView storage to maintain secure access and provide requested functionality. These are not intentionally used for behavioural advertising.

9. Data Storage and International Processing

Information may be stored on secure servers operated by IUSG MEET or its technology providers. Some providers may process information outside the user’s country, subject to applicable safeguards and law.

10. Data Retention

Information is retained only for as long as reasonably necessary for conference administration, CME accreditation, certificate verification, reporting, security, legal compliance, dispute resolution and backup requirements. Data no longer required will be deleted, anonymised or securely archived as appropriate.

11. Data Security

Reasonable technical and organisational measures are used, including HTTPS, authentication, restricted administrative access, server and database safeguards, logging, backups and software updates. No online system can guarantee absolute security, and users are responsible for protecting their devices, email accounts and OTP information.

12. Your Rights and Choices

Subject to applicable law, users may request access, correction or deletion of eligible information, withdraw consent where applicable, object to certain processing, disable notifications or submit a privacy complaint. Identity verification may be required before fulfilling a request.

Some records may need to be retained for legal compliance, accreditation, certificate verification, audit, fraud prevention, security or dispute-resolution purposes.

13. Account and Data Deletion

Users may request deletion of eligible IUSG MEET account data by contacting the IUSG office at office@iusg.net. The request should include the registered name, email address, mobile number where applicable, conference name, and a clear deletion request.

Deleting App-related data does not automatically cancel a separate conference registration, membership, payment record or previously issued certificate.

14. Children’s Privacy

IUSG MEET is intended for adult medical professionals, delegates, faculty, organisers and authorised participants. It is not directed to children under 18, and personal information from children is not knowingly collected for App use.

15. Medical and Educational Disclaimer

IUSG MEET is a conference and continuing-medical-education platform. It does not provide personal medical advice, patient diagnosis, emergency services, prescriptions, individual treatment recommendations or clinical decision-making services. Educational content must be considered together with professional judgement and appropriate authorised sources.

16. Sponsors and External Content

Sponsor names, logos, product information and informational flyers may be displayed as conference content. Accessing an external sponsor, streaming or payment link may take the user to an independently operated service.

The presence of sponsor information does not mean that participant personal data is automatically provided to sponsors. Personal data will not be provided to sponsors for independent marketing without an appropriate legal basis, notice or consent.

17. Changes to this Policy

This policy may be updated to reflect changes in App features, processing practices, service providers, legal requirements or security measures. The revised policy will display an updated date and may also be announced through the App or website where appropriate.

By registering for a conference, logging in, submitting a CME form or otherwise using IUSG MEET, you acknowledge that you have read and understood this Privacy Policy.
